Special Programs Coordinator

The Special Programs Coordinator leads the planning, coordination, implementation, and growth of seasonal, enrichment, and special programming within Girls Inc. of Worcester’s School Age division. 

This position coordinates February and April school vacation-week programs, supports the development of summer curriculum and activities, and serves as the primary program supervisor for Camp Kinneywood during summer operations. 

Throughout the year, the Special Programs Coordinator works with the Associate Director of School Age Programs to strengthen and expand enrichment and special programs, including swimming lessons, basketball lessons and Skills & Drills, senior and adult swim, babysitting courses, CPR/First Aid training, weekend programming, and emerging opportunities that support GIW’s mission while strengthening earned-revenue opportunities. 

Responsibilities: 

Vacation Week & Seasonal Programming 

  • Lead the planning and implementation of February and April school vacation-week programming. 
  • Develop program schedules, curriculum, activities, field trips, supply plans, and daily logistics. 
  • Coordinate staffing needs with the Associate Director. 
  • Develop and coordinate summer curriculum and activity plans for Camp Kinneywood and Summer InnovateHer programming.  
  • Ensure seasonal programming is engaging, developmentally appropriate, culturally responsive, trauma-informed, and aligned with Girls Inc. Headquarters frameworks. 
  • Coordinate participant and family communications related to assigned programs. 
  • Support enrollment, registration, recruitment, and program evaluation. 

Camp Kinneywood Leadership 

  • Serve as the primary on-site program supervisor for Camp Kinneywood during summer operations. 
  • Serve as the primary on-site program supervisor for February and April Vacation programming during those seasonal operations. 
  • Directly supervise assigned Camp Kinneywood seasonal staff. 
  • Directly supervise assigned afterschool staff during February and April Vacation programming seasons.  
  • Coordinate daily schedules, staff assignments, program activities, transitions, field trips, aquatics and waterfront-related activities, supplies, and operational logistics. 
  • Provide regular supervision, observations, coaching, and performance feedback to seasonal staff. 
  • Maintain applicable Massachusetts Department of Public Health recreational camp requirements, documentation, safety procedures, and program standards. 
  • Work with the Associate Director to ensure appropriate staffing, training, certifications, emergency procedures, and camp readiness. 
  • Elevate significant employee-relations and performance matters to the Associate Director and People & Culture as appropriate. 
  • Partner with applicable staff to ensure safe and appropriate implementation of aquatics and waterfront, outdoor, and recreational activities. 

Enrichment & Special Programs 

  • Partner with the Associate Director to coordinate, strengthen, and expand enrichment and special programs under the School Age division. 
  • Coordinate programs including, but not limited to: 
    • Swimming lessons 
    • Basketball lessons and Skills & Drills 
    • Senior and adult swim 
    • Babysitting courses 
    • CPR/First Aid training 
    • Weekend programming 
    • School vacation programming 
    • Additional youth, family, and community enrichment opportunities 
  • Develop schedules, identify instructors, coordinate registration, prepare supplies, and manage program logistics. 
  • Work collaboratively with Aquatics, Wellness & Equity, Operations, Advancement, and other departments as appropriate. 
  • Identify opportunities to develop new programming based on participant and community interest, organizational capacity, and mission alignment. 
  • Support the growth of accessible fee-based and earned-revenue programming within the School Age division. 
  • Track enrollment, participation, feedback, expenses, and other program information to assess opportunities for continuation, improvement, or expansion. 

CPR/First Aid Training & Safety 

  • Obtain the required certification to serve as a CPR/First Aid/AED Instructor within the first 90 days of employment. 
  • Maintain instructor credentials and complete required continuing education or recertification. 
  • Coordinate and facilitate CPR/First Aid/AED training for applicable GIW staff and other audiences as assigned. 
  • Maintain accurate training and certification documentation. 
  • Support a culture of safety and emergency preparedness across GIW programs. 

Program Administration & Quality 

  • Maintain accurate program schedules, enrollment information, attendance, documentation, supply inventories, and other required records. 
  • Monitor program quality and participant experience through observations, feedback, and program data. 
  • Support outcome measurement and reporting as needed. 
  • Maintain organized, safe, accessible, and program-ready spaces and materials. 
  • Assist with budgeting, purchasing, supply planning, and expense tracking for assigned programs in partnership with the Associate Director. 
  • Support marketing and recruitment efforts by providing timely program information and content to applicable departments. 

Youth, Family & Community Engagement 

  • Build positive relationships with youth, families, community members, instructors, partners, and program participants. 
  • Promote trauma-informed, restorative, strengths-based, and inclusive programming. 
  • Communicate professionally with families regarding assigned programs. 
  • Represent Girls Inc. of Worcester at community events, recruitment activities, and special events as assigned. 
  • Support organizational events and initiatives beyond regularly scheduled programming when needed. 

Physical & Transportation Requirements 

  • Ability to actively participate in indoor and outdoor recreational and youth-development programming. 
  • Ability to walk up to three miles throughout Camp Kinneywood and other program locations, including outdoor and uneven terrain. 
  • Ability to safely lift and carry up to 45 pounds for supplies, program setup, and event materials. 
  • Reliable transportation for travel between GIW facilities, Camp Kinneywood, program sites, and organizational events. 
  • Ability to work in seasonal outdoor environments during summer programming. 
Qualifications: 
  • Bachelor’s degree preferred in Education, Youth Development, Recreation, Human Services, Social Work, Sports Management, or a related field. 
  • Associate degree accepted with relevant youth-development, recreation, camp, aquatics, or program-coordination experience. 
  • At least 2–3 years of experience working with youth, recreation, camps, enrichment programming, or related programs preferred. 
  • Experience planning and coordinating programs, camps, classes, activities, or special events strongly preferred. 
  • Previous experience providing leadership, coaching, or supervision to staff or seasonal employees preferred. 
  • Experience with or familiarity with Massachusetts recreational camp/DPH requirements preferred. 
  • Aquatics, recreation, sports, or community-programming experience is a plus. 
  • Strong project-management, organization, scheduling, communication, and problem-solving skills. 
  • Ability to manage multiple programs and priorities across different seasons. 
  • Ability to maintain applicable background-record clearances and required certifications. With cost being covered by the applicant ($35-50) 
  • Ability and willingness to obtain CPR/First Aid/AED Instructor certification within the first 90 days of employment. 
  • Operate the GIW van for participant and supply transportation as assigned; valid driver’s license and acceptable driving record required

Salary and Application Information: 

Status: Full-Time, Non-Exempt. Eligible for overtime in accordance with Massachusetts wage and hour laws. 


Pay Range: $18-$23/Hour (based on experience) 

 
Schedule: During Worcester Public School Academic Year: Tuesday- Friday 10am-7:30 pm with a 30-minute unpaid lunch & Saturdays 9am-1pm. (no lunch) 

During Worcester Public Schools Summer Break: Monday-Friday 10:00am-7:00 pm with a 1-hour unpaid lunch break.
