Business and Finance Assistant

The Business and Finance Assistant at Girls Inc. Worcester is responsible for managing various business office, finance, and accounting functions essential to the organization's operational efficiency. This role involves overseeing billing, cash receipts, accounts receivable, payroll processing, data management, participant enrollment and more.

Responsibilities: 
  • Responsible for accounts receivable, including data collection, coding, and preparation of weekly invoices for services, rentals, and programs.

  • Oversee bi-weekly payroll processing, ensuring accuracy and timeliness.

  • Manage access to the Learning Hub platform.

  • Maintain accounting and reporting requirements for grants.

  • Ensure employee records, benefit enrollment, and payroll changes are up-to-date.

  • Handle accounts payable tasks, including verifying costs, and processing disbursements.

  • Collect cash receipts from program staff, reconcile accounts, and ensure timely deposits.

  • Prepare various schedules for annual audits as directed by the Business Manager.

  • Maintain HR files in compliance with regulations.

  • Safeguard all confidential information used in the performance of duties

Other Duties and Responsibilities

  • Provide support to front desk staff with standard receptionist duties, including answering phones, managing payments, and greeting clients and guests from 2-5:30PM.
  • Track and manage office and program supplies, including purchasing and restocking within budgetary guidelines.
  • Undertake specific tasks assigned by the CEO and Business Manager to enhance overall organizational effectiveness.
  • Serve as a representative of Girls Inc. by demonstrating courtesy, tact, consideration, and discretion in all interactions with stakeholders.
  • Adhere to confidentiality policies and conduct appropriate for a Girls Inc. representative.
  • Collaborate effectively with staff and community agencies as a team player.
  • Demonstrate strong organizational skills with meticulous attention to detail.
  • Accommodate a flexible work schedule as needed.
Qualifications: 
  • Minimum of 2 years of skilled bookkeeping/accounting experience or equivalent. An Associate's degree or certificate in bookkeeping or accounting is preferred.
  • Proficiency in Microsoft applications and Excel; expertise in QuickBooks or related accounting software.
  • Strong working knowledge of a broad range of office functions.
  • Goal-oriented with the ability to work independently.
  • Ability to maintain confidentiality and conduct appropriate behavior as a representative of Girls Inc.
  • Effective communication and collaboration skills with staff and community partners.
  • Strong organizational skills with meticulous attention to detail.
Salary and Application Information:
